Five things worth establishing before you speak to a single supplier
Most organisations arrive at a system replacement the same way. Something has been irritating for years, a renewal appears on the horizon, and four suppliers are invited in to demonstrate. By then the decision is usually already lost, because nobody in the room can say precisely what they need or what they are already paying for.
This is a workbook rather than a read. Each section has questions to answer and space to answer them in, and it finishes with a scorecard that tells you whether you are ready to go to the market, which is a different question from whether you are ready to change.

What is inside
1. What are you actually using? A module by module audit, because the functions nobody switched on are usually the ones causing the manual work.
2. What does your contract actually say? Eight questions to answer from the agreement itself, including the uplift cap clause almost nobody checks and the one that usually costs the most.
3. What is the problem, precisely? Turning frustrations into something a supplier could actually solve, and that you could score a demonstration against.
4. What is the manual work costing you? A table to total it up. It is usually the strongest line in a business case, because it is a cost you are already paying.
5. What must you keep, and where are the savings? What is working is both a filter on alternatives and leverage with your incumbent.
