Employment Hero transfers your existing account across to our white label. Your data stays where it is, your employees keep the same login, the same portal and the same payslip history, and the only thing that changes is who runs it.

We move you across and onto Employment Hero at the same time, so you change provider and get a better system in one go. A few days for a smaller payroll, around six weeks above 100 people, with a full parallel run before you go live.

Already on Employment Hero? Change your provider, not your payroll.

The thing that stops most businesses changing payroll provider is not the provider. It is the move: the data, the first pay run, and the fear of getting it wrong in front of everyone who works for you. If you are already on Employment Hero, none of that applies. Employment Hero transfers your existing account across to our white label, and your payroll carries on in the same place it always has.

The platform is included

The Employment Hero payroll cost sits inside our per payslip fee. There is no separate software bill, and your staff get an app for payslips, leave and their own details as part of it.

Switching handled properly

We deal with your outgoing provider and get your data out of them. We reconcile before go live rather than after, so nothing moves until the numbers match, and you can switch at any point in the tax year.

A 12 month term, then 60 days’ notice

We would rather keep you because the service is worth keeping. If it stops being worth it, you are free to go, and we will help you leave properly.

Up to 100 employees

Priced per payslip with a £30 monthly minimum, published in full. Most payrolls this size move across in a few days. Weekly or monthly.

SME payroll and prices

100 employees or more

Published prices up to 500 people, a named payroll manager and a named deputy, and a parallel run before go live. Around six weeks to move.

Do we have to move onto Employment Hero?

Yes. Every payroll we run sits on it, which is what lets us cover each other and keep quality consistent. If you are already on Employment Hero it is a transfer and nothing changes for you or your staff. If you are not, you move onto it as part of switching, and the platform cost sits inside our per payslip fee.

What does it cost?

From £5.50 a payslip for a monthly payroll and £4.00 a payslip weekly, with a £30 a month minimum on every payroll. Monthly payrolls above 100 people move onto our published larger payroll rates, which step down to £4.25 a payslip by 500 people. Weekly payrolls above 100 are priced individually. There is a one off set up fee on top, banded by headcount.

What is the set up fee?

£100 for up to 50 people, £200 for 51 to 75, and £300 for 76 to 100. Above 100 employees it is quoted alongside your monthly fee. It covers building your payroll, importing your data and reconciling it against your previous output.

Are we tied into a contract?

There is a 12 month term to start with, because building and settling a payroll properly takes most of a year. After that it rolls, and you can give 60 days’ notice at any time. There is no multi year tie in and no exit fee, and if you do decide to go we will help you go properly rather than make it difficult.

How long does it take to switch?

If you are already on Employment Hero, a transfer rather than a move. Otherwise a few days for a smaller payroll, and around six weeks above 100 people because we run a full parallel cycle first. You can switch at any point in the tax year, since we carry year to date figures across.

Do you deal with our current provider?

Yes, including chasing them for your data. You give notice, and we tell you exactly when to do it and what to say.

Who actually runs our payroll?

A named payroller who knows your payroll, and someone who covers them when they are away. On larger payrolls that is a named payroll manager and a named deputy.

Do you handle pensions and year end?

Yes. Pension administration and auto enrolment, HMRC RTI submissions every period, and year end including P60s and P11Ds.
