What you get when you outsource payroll to us

Client Portal

All clients will be provided with a portal for interacting with our payroll service. The portal enables you to enter all payroll changes for the period in a structured format. The portal also provides a payroll timeline, tasks and messaging hub.

Dedicated Contact

All clients will be allocated a payroll specialist who will be their primary contact, and a back up will be assigned to your account to provide back up cover. Our systems enable clients to be seamlessly moved to another specialist if required.

Reports and payslips

We provide all of our documentation to clients in a secure electronic format. Payslips are available after each pay period along with payrun reports for payroll sign off. P60s and P45 are issued via the portal.

Quality Procedures

We are passionate about our quality levels and our processes involve our clients signing off various stages of the payroll process. The sign off can be carried out via a mobile app or the online platform.

Payment & pension sync

We use system integration tools to sync pensions files with most leading auto enrolment pensions schemes. We also have intergration with payments systems such as BACS and other other leading payments systems.

Secure communications

We do not use emails to communicate with our clienst as we have an inbuilt communication module that ensures a secure and central source of all communication between our payroll teams and clients.

Task Management

We have a task management module that clients can access via our management platform. This enables our clients to log payroll queries and has the visibility to monitor the progress in line with SLA’s.

Employee Connect

We have a module where clients can proviode their employees with direct access to the payroll team via our management platform. We believe that this will offer employees a superior level of service and response.

How does the service work?

We have developed our service to standardise the way that we operate payroll for all of our customers. We have a management platform that provides you and the payroll team with the visibility of your payroll at any stage in the process. We have developed our technology to offer you mobile apps ensuring that you can action and stay in touch where ever you are.

 Changes 

You can provide us with changes as they happen within your business, ensuring that payroll can be updated at anytime throughout the month. This removes the traditional cut off process and high volume of changes being presented to the payroll team.

Processing

Your payroll associate will process your payrun in line with your payroll schedule that is available to you through the client portal. You will be provided with reports for signing off  your payrun, or to understand any variances.

Finalising

Once you have signed off your payroll the payroll will be finalised for submission to HMRC. At this stage the payment file is produced along with pension files for submission to yoru pension provider. On finalisation the payslip will be made available.

All clients are provided with a portal for secure data exchange ensuring that we are fully GDPR compliant. There is also a messaging hub for all client communications between the client and the payroll team removing the need for emails. The message hub also enables a full communication trail to be passed to be available to who ever runs the payroll.

HMRC recognised payroll

We use KeyPay cloud based payroll management software. The system is online payroll software which is HMRC compliant, meets auto-enrolment regulations and links automatically with the HMRC gateway. By linking with the HMRC gateway changes are automatically uploaded and downloaded ensuring the data is up to date and insync with the payroll system.

Self service and Mobile 

Our cloud based applications enable your employees to access paylsips via sellf service and mobile apps via the phone. Additionally employees can update their, address and bank details ensuring the payroll systems remains up to date. The payroll team can use mobile technology to upload changes and monitor the payroll progress, as well as sign off payruns.
